Member in Good Standing Policy

1. Purpose

The purpose of this policy is to establish clear requirements for maintaining Member in Good Standing status and to ensure that all members understand their rights, responsibilities, and obligations to the organisation.

This policy promotes accountability, participation, ethical conduct, and compliance with the organisation’s governing documents and policies.

2. Definition of a Member in Good Standing

A Member in Good Standing is a member who:

  • Has completed all required membership requirements.

  • Has paid all applicable membership fees or dues.

  • Complies with the organisation’s constitution, bylaws, policies, procedures, and rules.

  • Adheres to the organisation’s Code of Conduct and ethical standards.

  • Participates in required meetings, activities, or programmes where applicable.

  • Is not currently suspended or subject to a restriction that affects their membership status.

  • Has fulfilled any other obligations applicable to their category of membership.

3. Member Responsibilities

All members are expected to:

  • Conduct themselves respectfully and professionally.

  • Support the objectives, values, and activities of the organisation.

  • Comply with applicable policies and procedures.

  • Maintain accurate membership information.

  • Meet all financial obligations within the prescribed timeframes.

  • Attend and participate in meetings and activities where required.

  • Treat other members, staff, volunteers, and stakeholders with respect.

  • Raise concerns through the appropriate organisational channels.

4. Loss of Good-Standing Status

A member may lose their Good Standing status where they:

  • Fail to pay required membership fees or dues.

  • Breach the organisation’s constitution, bylaws, policies, or procedures.

  • Violate the Code of Conduct.

  • Engage in misconduct or behaviour that is inconsistent with the organisation’s values.

  • Fail to meet applicable membership or participation requirements.

  • Provide false or misleading information to the organisation.

  • Become subject to disciplinary action or suspension.

Where appropriate, the member will be notified of the reason for the change in status and provided with an opportunity to respond in accordance with the organisation’s applicable procedures.

5. Rights of Members in Good Standing

Members in Good Standing may exercise the rights associated with their membership category, subject to the organisation’s governing documents and applicable policies.

These rights may include:

  • Attending and participating in organisational meetings and activities.

  • Voting on matters where voting rights apply.

  • Standing for or holding eligible positions.

  • Accessing member benefits and services.

  • Participating in committees, programmes, or other organisational activities.

  • Receiving relevant communications and information from the organisation.

6. Suspension or Disciplinary Action

Where a member is suspected of violating organisational requirements, the organisation may take appropriate action in accordance with its Disciplinary Policy or other applicable procedures.

Any suspension or disciplinary action should be handled fairly, consistently, and in accordance with the organisation’s governing documents.

7. Reinstatement of Good-Standing Status

A member whose Good Standing status has been suspended or removed may be eligible for reinstatement once the applicable requirements have been satisfied.

Depending on the circumstances, reinstatement may require:

  • Payment of outstanding membership fees or dues.

  • Completion of outstanding membership requirements.

  • Compliance with corrective measures.

  • Completion of a disciplinary process.

  • Approval by the authorised committee, board, or designated official.

The organisation will communicate the requirements for reinstatement to the member where applicable.

8. Appeals and Review

A member who believes that their Good Standing status has been incorrectly suspended, removed, or denied may request a review or submit an appeal in accordance with the organisation’s Appeals or Grievance Procedure.

All appeals should be submitted within the prescribed timeframe and should clearly state the grounds for the appeal.

9. Responsibilities of the Organisation

The organisation is responsible for:

  • Maintaining accurate membership records.

  • Applying the requirements of this policy consistently.

  • Communicating relevant membership requirements to members.

  • Providing appropriate notice where a member’s status is affected.

  • Maintaining confidentiality of membership and disciplinary information where applicable.

  • Ensuring that decisions regarding membership status are made in accordance with the organisation’s governing documents and procedures.
